Learner support software vs general case management systems

Learner support software vs case management: a fair comparison of Inclusion Studio with general case management and MIS tools, and when the general tool is enough.

Updated
In short

General case management systems are broad, mature and often already licensed. Inclusion Studio is a narrow tool built around learner voice, agreed plans and delivery evidence in education. It is pre-pilot, so check what you need before choosing.

Your college or training provider may already have a case management or student record system with notes, tasks and alerts. Is it enough? This page compares general case management tools with Inclusion Studio fairly. It describes the pilot design for Inclusion Studio, which is pre-pilot and has no customers yet.

What do general case management systems do well?

They are broad. One system can handle safeguarding, pastoral care, welfare, behaviour, attendance and support. They are mature, supported and often already licensed. They connect to your student record system or are part of it. Staff are trained on them. Safeguarding teams usually need such a system, and it should stay where it is.

Their breadth is their strength. It is also the reason a general system can feel generic for learner support.

Where might a general system fall short?

This depends on the product and how it is configured, so check rather than assume.

  • Learner-centred structure. Many are organised around the organisation’s concerns, such as cases, alerts and incidents, not around what the learner says helps.
  • Narrow external views. Giving an employer a limited, workplace-only view may be difficult.
  • Follow-through. Plans can be recorded, but tracking whether each action happened and recovering from misses often needs custom work.
  • Review rhythm. Keep, change or stop decisions with learner feedback may not be built in.
  • Cost of configuration. A flexible system needs someone to design and maintain forms and workflows.

Where might Inclusion Studio fall short?

  • It is not yet in use anywhere, so it has no track record.
  • It does not do safeguarding, pastoral care, attendance, timetabling or funding returns, and will not.
  • It will need to be connected to your existing data, and connectors are planned but not built.
  • It may add another system for staff to learn and for IT and data protection staff to assess.

Safeguarding stays in your safeguarding system. See our safeguarding boundaries page.

When is your existing system the right choice?

Stay with it if it already lets you record learner voice, show plans to learners, assign owners, track delivery and review, and share a narrow view with employers; if your staff use it well; and if your data protection officer is comfortable with it. It is also the right choice if you cannot take on another supplier this year. Consider improving the configuration first, using our free templates as a design guide.

When might a focused tool help?

When your general system holds support as notes, but you cannot easily show the learner’s voice, agreed actions, delivery and review, and you want that without building and maintaining custom workflows. Our guide to choosing learner support software gives a checklist of questions for any supplier.

What would integration look like?

Planned, not built. CSV import and export first, then one connector chosen from real pilot demand. We will not claim integration with any system until it has been built and tested. See imports and integrations.

Frequently asked questions

Can a general case management system do what Inclusion Studio does?

Often partly. A configurable system can usually hold plans, notes and tasks. The question is how much configuration, training and discipline it takes to match a learner-centred journey, and whether learners and employers can be given a narrow view.

Will Inclusion Studio replace my student record system?

No. It is not a student record system, a safeguarding system or a timetable. It focuses on support planning, delivery and review. Imports and integrations are planned, not built.

Is Inclusion Studio more secure than a general system?

We make no such claim. It is pre-pilot and holds no certifications. A mature supplier may have independent assurance that we do not yet have. Compare evidence, not claims.

Could we run both?

Yes, and many providers will. Keep safeguarding and the student record where they are, and use a focused tool for support if it earns its place.
