Updated
In short

Inclusion Studio is priced per learner on roll per month, invoiced annually. The first 500 learners are £2.00 each per month; Essentials starts at £750 a month and Professional at £2,500 a month, excluding VAT. Group is quoted. Pilot providers pay nothing during the pilot.

Inclusion Studio learner support software pricing is per learner on roll, per month. Your organisation declares its total number of learners once a year, and the price follows that number, never how many of them need support. This page shows the launch prices, what every plan includes, and how the pilot works.

What does Inclusion Studio cost?

Monthly figures, excluding VAT, on a 12-month agreement invoiced annually in advance.

Learners on rollPrice per learner per month
The first 500£2.00 each
Learners 501 to 2,000£1.00 each
Learners above 2,000Lower rates, quoted

The first 500 learners carry the platform, which is why that step costs more than the ones after it: every customer pays it, and each learner after that costs less. The steps add up, so a provider with 800 learners pays £1,000 for the first 500 plus £300 for the next 300, which is £1,300 a month.

PlanWho it is forPrice
EssentialsSingle-site and smaller training providers, up to 2,000 learnersFrom £750 a month (£9,000 a year). Remote onboarding included.
ProfessionalColleges and multi-site providers, from 1,001 to 15,000 learnersFrom £2,500 a month (£30,000 a year). Onboarding from £1,500, quoted for your set-up.
GroupCollege groups and providers with more than one organisationQuoted. Each organisation keeps its own boundary, and group oversight sees totals only, never individual cases.

Worked examples: a 500-learner training provider on Essentials pays £1,000 a month, £12,000 a year. A 2,000-learner provider pays £2,500 a month, £30,000 a year, on either plan. All figures exclude VAT.

A Premium plan with proactive AI assistance is planned. It has no price yet and will be priced when those features exist.

These are launch prices. Inclusion Studio is pre-pilot, so nothing is on sale yet and prices may change after the pilot. Any change is published here first. If someone quotes you a different price for Essentials or Professional, it did not come from us.

How does Inclusion Studio learner support software pricing work?

  • Per learner on roll, per month. The unit is every learner on roll, declared once a year by your organisation. The number never depends on how many learners disclose a need, have a plan or have a diagnosis, and billing never reads learner records. The count moves only at renewal; growth during the year is never re-billed.
  • Monthly figures, invoiced annually. Prices are shown per month so you can see what the product costs, and invoiced once a year in advance so finance can raise a purchase order against a fixed figure. Payment by invoice and bank transfer. Providers under 2,000 learners can instead pay monthly by Direct Debit or card at 20% more.
  • Prices exclude VAT. VAT is added at the standard rate. Quotes show prices with and without VAT, because colleges usually cannot recover it.
  • Predictable renewals. The price is fixed for the term. Any renewal increase is capped at UK CPI, and never more than 5%, with 90 days’ notice. A three-year fixed price is available at 10% off.
  • Staff are not charged for. Each plan includes a generous allowance of named staff accounts. Learners, parents, carers, employer contacts and governors are never counted. Organisations that want every tutor logged in can add packs of ten staff accounts for £95 a month.
  • No extra charge to leave. A full export of your data is free when you leave.

What is in every plan?

Every plan includes the full support journey, the employer view for apprenticeships, voice capture with typing always available, and a demo tenant with fictional learners. Larger plans add more sites, more staff accounts, single sign-on, evidence packs and scheduled exports, a larger allowance for optional AI assistance, and reporting and integration options as they become available. See the roadmap for what is built and what is planned.

Some things are never gated, in any plan, in a demo, in the pilot, or if an invoice is late:

  • accessibility features, including typing as an alternative wherever voice is offered;
  • learner participation in their own support;
  • privacy controls, audit and subject access export;
  • full data export in open formats, at any time and for a period after the contract ends;
  • the route for safeguarding concerns;
  • separation between organisations, and multi-factor sign-in once it is available;
  • read access to existing support records.

Price will never depend on the number of learners with a diagnosis, disclosures, plans, or the funding a provider recovers. No plan will have an “inclusion score” or an inspection prediction. AI features are optional and off by default.

Will there be a free plan?

No free software plan is planned. A free 30-day demo with fictional learners is planned, so you can try the product without any real data. The guides, templates, glossary and free tools on this site are free and do not require the software. See guides, templates and free tools.

What happens in a pilot?

Pilot providers pay nothing during the pilot, which is expected to run for six to nine months. If a pilot provider then chooses to continue, it pays half the list price for its first three years, fixed, and onboarding is free, as a thank you for helping shape the product. The pilot is with a small group of three to five England further education colleges and apprenticeship providers. Terms will be agreed with each pilot provider, in writing, before it starts. The terms will cover:

  • What is in scope, and what is still being built.
  • How long the pilot runs and how it ends.
  • Whether any real learner data is used, and the checks that must be done first.
  • What feedback we ask of you and how it will be used.
  • What happens to your data when the pilot finishes.

We expect providers to want security, privacy and accessibility evidence before real data is used. Those gates apply whatever the price.

What should you ask any supplier about price?

Whatever you buy, ask for:

  1. The total cost over the whole contract, including set-up, training, support and integrations.
  2. What happens to price if learner numbers change.
  3. Which features cost extra, including AI.
  4. How you can export your data, and at what cost, if you leave.
  5. What is guaranteed in writing, and what is only planned.
