In short

Fair comparisons of Inclusion Studio with the tools providers commonly use today for learner support, spreadsheets, paper plans and general case management systems, including where those tools are still the better choice.

Paper support plans vs digital

Paper support plans vs digital: a fair comparison of paper learner support plans with Inclusion Studio for FE and apprenticeships, and when paper is better.

Most providers manage learner support with a mix of spreadsheets, documents, email and their student record system. These comparisons explain the trade-offs honestly, including when you may not need dedicated software at all.

What are the main ways to manage learner support?

Most FE colleges and apprenticeship providers use one of three approaches, or a mix of them:

ApproachUsually works well whenUsually struggles when
SpreadsheetsThe caseload is small and one or two people manage itMany staff need different views, or you need delivery evidence
Paper or document plansPlans are personal and shared in personPlans need to be shared safely, tracked and reviewed on time
General case managementYou already license it and can configure it wellYou need learner voice, agreed plans and delivery recording built in

Dedicated learner support software, such as Inclusion Studio, is a fourth option. It is narrower than a case management system and is built around one journey: hear the learner, agree a plan, record delivery and review whether it helped.

How do I choose between spreadsheets, case management and paper?

Choose the simplest option that lets you answer three questions for any learner: what was agreed, was it delivered, and did it help. If your current approach answers those questions reliably, you may not need to change. If it does not, the comparison pages show where each approach tends to break and what to check before you switch. The support process health check can help you find the weak points first.

What should I check in any learner support software?

Check permissions, data location, accessibility and evidence, not just the feature list. Ask whether access is enforced on the server, where each service processes data, whether the product meets WCAG 2.2 and how support delivery is recorded. Our guide to choosing learner support software has a fuller checklist, and the DPIA guide helps your data protection officer assess any supplier.

How should I read these comparisons?

Read them as a fair starting point, not a sales pitch. Inclusion Studio is pre-pilot, so where it is compared with mature tools we label what is in the prototype, in development or planned. The platform page shows each capability’s status, and the trust centre states what assurance work is still to do. If you want to test the approach against your own process, find out about the pilot.

Frequently asked questions

Do I need dedicated learner support software?

Not always. A small, simple caseload can be managed well with a spreadsheet or paper plans. Dedicated software helps most when many staff, learners or employers are involved and you need evidence that support was delivered and reviewed.

Is Inclusion Studio ready to replace my current system?

Not yet. It is pre-pilot, with a clickable prototype using fictional learners and a production application in development using synthetic data only.

How do I compare learner support software fairly?

Test each option against your real process, from hearing the learner to reviewing whether support helped, and ask suppliers for evidence on permissions, data location and accessibility rather than relying on feature lists.

Can I keep my student record system and use Inclusion Studio as well?

Inclusion Studio is designed to sit alongside your student record system, not replace it. CSV import and export are planned, and there is no integration connector today.
